What an invoice has to contain

Requirements differ by country, but the common core in the EU, Switzerland and the UK is: your name and address, the client’s name and address, a unique sequential number, the issue date, a description of the service and the date it was performed, the net amount, the tax rate and tax amount if you charge it, the gross total, and your tax or VAT number when you are registered. Add your IBAN and payment terms so the client can pay without asking.

Tax rate: which one to type

  • Not VAT-registered (small business exemption): leave the rate at 0 and state the exemption in the notes, in the words your country requires.
  • Registered, client in your own country: your standard rate. Switzerland 8.1%, Germany 19%, France 20%, Italy 22%, Austria 20%, UK 20% at the time of writing.
  • Registered, business client in another EU country with a valid VAT ID: 0 with a reverse-charge note and both VAT numbers on the document.

Two limits of this tool

This tool applies one rate to the whole document and does not produce a Swiss QR-bill. If you invoice in CHF, the QR-bill is what your client’s banking app expects; Galerly generates it on every CHF invoice.

When a generator stops being enough

A PDF from this page has no pay button, no record of whether it was opened or paid, and no link to the gallery it belongs to. Is the PDF legally valid?

An invoice is valid when it contains what your country requires; the layout does not matter. Use the checklist above and keep your own copy and numbering sequence.

Can I save the invoice and edit it later?

Only as the PDF you print. The page keeps nothing, by design. For editable, numbered, tracked invoices use a Galerly account.

Does it work on a phone?

Yes. Most phone browsers offer “Save as PDF” or “Share” in the print dialog.
